Rules

As organizers, we value the human approach of both the racers and the spectators the most. A friendly atmosphere and openness are fundamental pillars of the Peklo Severu race philosophy. We believe that together, we can prevent any misunderstandings with a positive and friendly approach. However, if any misunderstanding or ambiguity does occur, we have the rules, which we can always refer to.

*Elite men – men born in 2008 or earlier can register for this category (with no upper age limit). Registration in different categories at different races is allowed, but points for the overall standings are not cumulative.

 

Early Advancement to a Higher Age Category

  • Early advancement to a higher age category can exceptionally be allowed only for exceptionally talented and physically fit competitors in the category.
  • Permission is granted by the referee and/or the race director based on a statement from the competitor's parents.
  • Early advancement is only allowed within the Older Boys + Cadets category (to the Elite Men category) and Older Girls + Cadets (to the Elite Women category).
  • After starting in a higher category, a competitor may no longer start again in the original category within the same season.

Ranking

  • All categories are included in the overall ranking.
  • The worst point score is not included in the overall ranking.
  • In case of a tie in points, the following criteria apply:
    1. Better placement in the mutual ranking in individual races
    2. Better placement in the last race in which the competitors scored points

Scoring Example:

If 20 competitors start a race, the winner gets 20 points + a bonus, and the last competitor (20th place) gets 1 point.

If only 10 competitors finish a race, the last competitor (10th place) gets 10 points + a 5-point bonus.

The point score can be calculated using the formula: Number of starters – rank + 1 + bonus = point score

Awards

  • In all races, at least the top three finishers in each category will be awarded.
  • In the case of registration for races in more than one category in a single year, points will not be added to the overall ranking (this applies to registration in the Elite Men and Masters I-III categories).
  • After the last race, the overall evaluation of the completed year will take place.
  • At least the top three racers in each category will be awarded overall.
  • The overall ranking will be announced if at least three races are held.

Admission to the Race

  • Persons under the age of 18 may only participate in the event after their legal guardians have signed a Declaration of Consent. If the parents cannot be present, a power of attorney to sign must be presented, along with a copy of the parents' ID, otherwise the signing of the Declaration of Consent is not possible and thus participation in the event is not possible.
  • The age category is determined by the year of birth, not by the age on the day of the race. The racer starts only in the given category according to the year of birth.
  • The racer is obliged to fill out the application form and agree to the terms of the race. After paying the entry fee (in the race office or by bank transfer), a starting number will be issued.
  • The starting number can only be picked up in person against the signature of the terms of the event and upon presentation of a personal ID. In the case of pre-registration online, after granting consent.
  • For the age limit of the Masters I-III categories, a racer in this category is allowed to race in the Elite Men category; they must choose this category when registering.
  • All mountain bikes used in the races must be powered only by human force. During the races, the use of electric bikes on the track is prohibited, even during training.
  • Only mountain bikes are allowed, not other types (cyclocross, road, etc.).
  • The mandatory wearing of a full-face protective helmet is essential. Helmets used in competitions and during the training process before the race must be approved and must meet safety standards approved by the relevant cycling association. These helmets must serve for protection.
  • The racer is obliged to attach the starting number to the handlebars so that it is clearly visible and legible.

Escort in the Race

  • During the race in the categories Naděje I - boys and Naděje I - girls, a person over 18 years of age may accompany a child on the track, only if they wear a reflective vest provided by the organizer. This person only accompanies the competitor, ensuring their stability and direction. Pushing with the intention of overtaking competitors who are moving independently is not allowed.
  • If the organizer deems that the support provided to the competitor was excessive, they have the right to exclude the accompanying person directly during the race, or to adjust the race results after its completion.

General Race Rules

  • Each competitor participates in the race at their own risk.
  • A competitor may only prepare for their race outside the track, so as not to disrupt the currently ongoing race. Training on the track is only possible when there is no race of another category taking place.
  • If a competitor must, for any reason, pass through the start/finish area outside the time of their race, they are obliged to cover their starting number.
  • The competitor must respect the environment in which the race is held. Therefore, they must only move along the marked track. In particular, they must avoid any littering of the track and surroundings by discarding waste (including throwing away gel tubes, energy bars, etc.).
  • Competitors are required to arrive in the pre-start area at least 10 minutes before the start. If a competitor does not personally present themselves when their starting number and name are called, they are not entitled to a designated place on the starting line and will be called to the line last. Only the chief referee or race director may make an exception. Competitors are called and invited to the start by the referee responsible for starting the race, i.e., the starter. Before the actual start, all competitors are ready on the starting line. Competitors line up on the starting line from left to right, unless the chief referee decides otherwise.
  • The competitor must complete the course and distance that was set before the start of the competition. The race is usually finished after the leading competitor crosses the finish line. The competitor is responsible for staying on the officially marked course and is solely responsible for their mistakes made on the course.
  • The competitor must follow the officially marked race course. They must not use any shortcuts, skip a lap of the course, or use any other dishonest means to gain an advantage over another competitor. If a competitor leaves the marked course for any reason, they are obliged to return to the course at the same point. If they fail to do so, or return at a different point, they will be disqualified from the competition.
  • The competitor must demonstrate civic ethics in every situation. They must yield to a faster competitor when requested by that competitor.
  • f a competitor withdraws from the race for any reason, they are obligated to report this fact to the referees at the finish line. In the event of a competitor's injury, this obligation passes to the team representative.
  • Improper behavior and rude language, disrespect for officials are subject to warning. In the event of a repetition of the aforementioned offenses, the competitor will be excluded from the race.
  • During the race, technical assistance is permitted under the following conditions:
    1. repair or replacement of any part of the bicycle except the frame is possible
    2. replacement of the entire bicycle is not permitted
    3. the competitor must finish with the starting number placed on the handlebars
    4. competitors may carry spare parts or tools that do not endanger themselves or others
  • In the event of a violation of any of the above rules, the organizer is authorized to exclude the participant from the current race and/or from the evaluation.
  • Any protests by the competitor must be communicated to the referee or race director.

Team Competition

  • Any team paying a 500 CZK fee can enter the team competition.
  • Participants who register for a race and list the same team name in the results will be considered part of that team.
  • The best four scores from each team member in a given race will count towards the team's total.
  • Points will be awarded retroactively, but only up until the start of the third race. Teams registering after this point will not receive retroactive points.

Others

  • In the event of cancellation or interruption of the event due to force majeure or for reasons beyond the organizer's control, participants shall not be entitled to a refund of the entry fee or any other expenses.
  • The organizer reserves the right to change the race schedule during the race day.
  • Ignorance of the rules is not accepted as an excuse.

By signing at registration or agreeing online, all participants acknowledge that they have read and understood these rules and conditions of participation.

 

Declaration on Personal Data Protection

 

1.     General Information

In order for the organizer – CK 1967 Česká Kamenice to provide athletes with services related to race registration and, in particular, the processing of results, it is necessary to collect and process your personal data. To do this, we need to obtain your consent. If you do not give your consent in these cases, the services we provide cannot be provided.

Unless explicitly stated otherwise, all information provided herein also applies to the processing of personal data of visitors and spectators, i.e., persons who do not actively participate in the sporting events themselves but are present at the venue where they are held.

1.1.  Principles of Personal Data Processing

When processing your personal data, we respect and adhere to the highest standards of personal data protection and, in particular, the following principles:

(a)  We always process your personal data for a clearly and comprehensibly defined purpose, by specified means, in a specified manner, and only for theperiod necessary for the purposes of their processing.

(b)  We store your personal data in a manner that ensures the highest possible security of this data and prevents any unauthorized or accidental access to personal data of participants, their alteration, destruction or loss, unauthorized transfer, their other unauthorized processing, as well as other misuse; all within the framework of the means that we are able to ensure in good faith.

(c)  As an organizer, we maintain appropriate, accessible technical and organizational measures to ensure a level of security corresponding to all possible risks; all persons who come into contact with the personal data of clients are obliged to maintain confidentiality regarding information obtained in connection with the processing of such data.

2.     Information about Personal Data Processing

2.1.  Information about the controller

The controller of your personal data is the organizer, i.e., Cyklistický klub 1967 Česká Kamenice, z.s., with its registered office at Česká Kamenice, Zámecká 87, PSČ 407 21, IČO 013 08 386, a company registered in the commercial register maintained by the Regional Court in Ústí nad Labem, file number L 8334.

2.2.  Purposes of Processing and Legal Basis for Processing

Processing of personal data with your consent

This generally concerns situations where you voluntarily agree to allow us to process personal data provided by you or obtained in another manner. If you do not provide your consent, this may be the reason why the organizer will not be able to provide the services or will be forced to reasonably adjust the availability or scope of the provided services.

Based on your consent, the organizer processes your personal data for the following purposes:

(a)  registration of participants – this is an activity during which the organizer needs to assign a unique, non-repeatable identifier to each participant,

(b)  processing of results – this involves processing time data read from measuring devices, which are assigned to individual starters and further processed using software in order to determine the final ranking of starters in individual categories, races, and the overall series evaluation.

2.3.  Scope of personal data processed

The organizer processes your personal data to the extent necessary to fulfill the purposes stated above. We primarily process identification data. Some specific categories of personal data and methods of their processing:

 

Date of birth

The date of birth is a unique identifier of each person, if it has been assigned to them. Without any further requirements for any registration of competitors in any other external evidence systems or databases that process personal data themselves and on the basis of which the starter is assigned a different unique key or identifier, the processing of dates of birth is technically the simplest and least burdensome for the starter.

 

Video or photographic record.

The organizer, primarily at the event venue, takes video or photographic recordings. Recordings are taken only by a person directly designated by the organizer, usually on the basis of a contractual relationship. Recordings are taken exclusively for the purpose of presenting sporting events, or possibly for the purpose of presenting CK 1967 Česká Kamenice as their organizer.

2.4.  Method of Personal Data Processing

The method by which the organizer processes your personal data includes both manual and automated processing, in a database system used by the organizer. Your personal data is processed only by the organizer's employees and, to the necessary extent, also by third parties designated by the organizer.

2.5.  Recipients of Personal Data

Your personal data is generally not made available to any persons. An exception is the publication of photographic or video recordings on the organizer's website or its social media profile.

2.6.  Data Retention Period

Personal data is processed only for the period necessary for the purposes of its processing. If we find that it is no longer necessary for any of the purposes for which it was processed, the data will be deleted. This is usually a period of one calendar year.

2.7.  Right to Withdraw Consent

In these Rules, we have tried to explain why we need your personal data and that for some purposes, we may only process it with your consent. You are not obliged to grant your consent to the processing of your personal data to the organizer, and you are also entitled to withdraw your consent. If you withdraw your consent in such a case, we will terminate the processing of the relevant personal data for the purposes requiring such consent, but in such a case, we cannot guarantee the reliable processing of your results.

2.8.  Sources of Personal Data

Personal data of participants is obtained primarily from the participants themselves, directly through the completion of the registration form.

2.9.  Your Right to Request Access to Personal Data and Protection of Participants' Rights

If you request information regarding the processing of your personal data, we will provide you with all information about what data we process about you without undue delay. If you find or believe that the organizer or a third party involved in the processing of data is processing your personal data in a manner that violates the protection of your privacy or is contrary to the law, in particular if your personal data is inaccurate, you may:

(a)  request an explanation from the organizer or third party involved in the processing of data;

(b)  equest that the non-compliant situation be remedied, in particular you may request that the personal data be corrected or supplemented.

If we find your request to be justified, the organizer or third party involved in the processing of data will immediately remedy the non-compliant situation.

3.     Electronic Communication Means

The organizer is developing technologies so that you can use modern electronic communication means to obtain information about results. This is primarily about services related to the use of the internet and social networks.

We are aware of the special nature of providing these services, and therefore we pay attention to the protection of participants' personal data when using these means.

Peklo Severu Website. The organizer allows you to obtain organizational information and information about ongoing and overall results through the website.

Social Networks. You can also contact us through social networks.

4.     Rules

These Rules are valid and effective as of January 1st 2025. The current version of the Rules is published on the Peklo Severu website and is also available at the race office on the day of the race.
